Job Title: Evening ReceptionistLocation: Shottenkirk Fort Bend KiaDepartment: Customer ServiceReports To: Office Manager / Controller / GM Job Summary: The Evening Receptionist at Shottenkirk Fort Bend Kia will provide exceptional customer service and assist with administrative tasks during the evening shift. This role requires a friendly, professional demeanor and excellent communication skills to handle customer inquiries, manage calls, and ensure the smooth operation of the reception area. The Evening Receptionist will act as the first point of contact for customers, visitors, and staff, helping create a welcoming and efficient environment. Key Responsibilities: * Customer Greeting & Assistance:

  • Greet customers, visitors, and employees warmly as they enter the dealership.
  • Assist with customer inquiries and direct them to the appropriate departments (sales, service, finance, etc.).
  • Ensure customers feel comfortable and informed while waiting.
Phone Management:
  • Answer and direct incoming phone calls in a professional manner.
  • Take accurate messages and relay them promptly to the appropriate team members.
  • Provide basic information to callers, such as dealership hours, services offered, and directions.
Appointment Scheduling:
  • Assist customers in scheduling service appointments for vehicle maintenance and repairs.
  • Confirm appointments, ensuring that customer details and service requests are accurately recorded.
Administrative Support:
  • Perform data entry and maintain accurate customer and service records in the dealership's system.
  • Prepare and organize paperwork for the service department, including work orders, customer files, and invoices.
  • Assist with processing customer payments and completing any necessary paperwork.
Customer Waiting Area:
  • Maintain the cleanliness and organization of the reception area, ensuring it is welcoming and comfortable for customers.
  • Provide refreshments or offer additional assistance to customers in the waiting area when necessary.
Communication:
  • Serve as a liaison between customers and staff, ensuring that all communication is clear and professional.
  • Relay important information to the appropriate departments in a timely manner.
Evening Closing Duties:
  • Assist in closing the reception area and securing the front desk at the end of the shift.
  • Ensure that any pending customer matters or appointments are handed off to the morning shift or properly documented for follow-up.
Other Duties as Assigned:
  • Assist in general office tasks as needed.
  • Handle any other responsibilities related to customer service or administrative support as assigned by the office manager, Controller or GM.
Qualifications:
  • High school diploma or equivalent required.
  • Previous customer service or receptionist experience is preferred.
  • Strong communication skills, both verbal and written.
  • Proficient in computer programs (Microsoft Office Suite, dealership management software, etc.).
  • Ability to multitask and remain organized in a fast-paced environment.
  • Friendly and professional demeanor with a focus on delivering excellent customer service.
Working Hours:
  • Evening shift, typically from 1:00 PM to 8:00 PM (or as scheduled).
  • Flexibility to work weekends and holidays as needed.
