Job Title: Event Coordinator
Location: Lake Mary/Hybrid
Job Type: Temporary Contract – 4-5 months August – December 2025
This role is ideal for someone with 1 – 2 years of experience in event management of business meetings, hospitality or administration, has strong organizational skills and thrives in a fast-paced environment.
Key Responsibilities:
EVENT PLANNING
Primary focus on live Instructor Led Training Programs and support to the events team for larger events.
Pre-planning:
• Processes approved invoices to Accounts Payable
• Assists with monitoring event registrations, hotel room blocks, F&B orders and other logistics needs
• Review staff/speaker/guest rooming list from hotel against list submitted to ensure accuracy
• Make any arrival/departure updates to the rooming that come in by request
• Work with venue or in-house team to ensure rooms are set up and AV requirements are in place and tested
• Orders catering needs
• Pull reports from the registration platform for planning F&B orders, meeting room assignments and seating set up
• Compiles material orders and coordinates shipping logistics for delivery and return
• Provide detailed instructions for staff managing the onsite deliveries
• Review final bill from venue for accuracy against the pre-event order forms
• Communicates any unanticipated charges immediately to management
• Reconciles invoices against signed contract and specifications
• Compiles bill-breakdown by account and BUC for signature
• Completes post-event reporting, providing any necessary attendance information required for CPE issuance
Qualifications:
• 1–2 years of experience in event coordination, hospitality, or a similar role.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks and priorities under tight deadlines.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite/SharePoint; familiarity with event software – CVENT is a plus.
• Familiarity with Smartsheet or similar platform.
• Willingness to work flexible hours, including evenings and weekends as needed.
